Caremate Wellness Solutions, LLC is a licensed Home Care & Home Health Services Agency, serving approximately 40 clients in the heart of the Dallas/Fort Worth metroplex in Arlington, Texas. Their leadership combines over two decades of direct patient care administrative experience, led by Eureka Pinkney, Agency Administrator, and Clinton Pinkney, LVN, Director of Client Services.

Caremate Wellness has demonstrated remarkable growth and adaptability since opening its doors in 2020, with plans to further expand. To support this goal, they realize that a homecare management platform is an important part of enabling growth and efficiency for an agency.

“We’ve always had some kind of platform to help us because we wanted to make sure that we were doing things the right way,” Eureka said. “You don’t know what you don’t know.” However, they struggled with various other scheduling and billing platforms, which lacked the level of efficiency and integration they sought. The agency understood they needed to find a system that could keep pace with their needs.

Moving to HHAeXchange

The transition to HHAeXchange took some adjusting, but the support provided was instrumental in successfully implementing the platform. “The transition wasn’t easy but the HHAeXchange team was there all the way through,” Clinton said. “We never felt deserted.”

Eureka and Clinton understand the critical role that data plays in managing a homecare agency: “If you want to know where you’re going, and if you are truly trying to grow your agency, that data is going to be essential,” Eureka  said.

This vital feature of the HHAeXchange platform helped Caremate Wellness to better understand their business. Eureka said, “One thing that I really like about HHAeXchange is the data capturing aspect of it. Every data point that we enter is reportable. The reporting function is robust.” 

This enhanced reporting capability has led to better service delivery and a clearer understanding of operational metrics. Reporting helped Caremate Wellness gain visibility into their clients and staff to better manage day-to-day operations. Eureka said, “We get to track attrition and new arrivals on both sides, for clients and for attendants. It has a lot of reporting features that help us stay on top of what we need to be doing moving forward.”

Clinton also highlighted how crucial HHAeXchange’s reporting is to the health of their finances and billing processes, stating, “We’re constantly pulling billing reports. Billing reports are paramount in our assessment of how well we’re doing month to month.” It also helps the team understand how they are doing financially at any given time.

Compliance Support

Compliance is crucial for Texas homecare providers, and HHAeXchange provided tools that significantly eased the burden of maintaining compliance for Caremate Wellness. Specific features that have helped automate compliance functions for the team are Office of Inspector General (OIG) checks, essential for legal and regulatory adherence.

Clinton appreciated the automated features, noting, “It helps us stay in compliance with the state with the automated compliance functions that it has in it already. The OIG checks and other types of compliance checks were quite cumbersome and hard to keep on a regular schedule prior to using HHAeXchange.” This aspect of HHAeXchange ensured that Caremate Wellness could focus more on client care and less on the complexities of Texas homecare compliance.

Poised to Scale with HHAeXchange

When asked about how HHAeXchange will empower growth moving forward, the Caremate Team was excited to share that they don’t have to wait for the future to see progress. “It’s supporting our growth right now as we’ve increased by at least 8% since the beginning of the year, and we’ve been with HHAeXchange since October of last year,” Clinton said.
